Give the customer enough information to decide

A clear quote connects the customer's need to a defined delivery, an explainable price and an explicit next step. The amount of detail varies, but these parts should not be left for the customer to reconstruct from email.

The best format depends on how often quotes change and how many people need to work with them. A file can be enough for a few simple quotes. A connected workflow is easier to control when prices change, the customer opens or comments on a quote, and someone needs to follow up.

What should a quote contain?

A useful quote identifies the parties, scope and exclusions, explainable price rows, totals, validity, terms and a clear way for the customer to respond.

Should I use Word, Excel or PDF?

Word suits text-heavy work, Excel suits calculations and PDF suits fixed delivery. If changes, customer responses and follow-up must stay connected, a digital quote workflow is usually easier to control.

Can I use a template without changing it?

Use it as a starting point, but customer details, scope, prices, tax deductions and terms must always be reviewed before sending.

Are these examples binding quotes?

No. The public examples are fictional. They cannot be accepted or sent to a customer.
